TENANTS TERMS AND CONDITIONS
Many thanks for considering Jones Estate Agents for your next property. The following notes are intended to help you through the application process for your new home, and to explain the procedures of renting a property. If there is anything that you are unsure of, please do not hesitate to ask us for further clarification. Please note that all fees are subject to change without notice.
Important: Please do not give notice on your current tenancy, if applicable, until your rental application has been fully processed and accepted. We will then arrange a moving date to suit you subject to the conditions below.
RIGHT TO RENT
As required by law, we will be required to check your right to reside within the UK. As such you will be required to provide the correct documentation as part of your application process. Information relating to acceptable documentation can be found HERE
THE APPLICATION PROCESS
All application forms must be completed and signed before an application for a tenancy can be formally considered. All tenants must be referenced. An application fee of £150 plus per application plus a further £30 for each further applicant / guarantor to cover referencing and preparation of the tenancy agreement and various other administrative costs. These fees must accompany your application forms. We regret that we are unable to process your application or reserve a property until we have received payment of this fee.
The fee, once paid, is non-refundable even if you withdraw your application or if you fail to meet the referencing criteria for any reason. Referencing is carried out via a professional referencing agency. Please provide all mandatory information or documentation requested; failure to do so may result in a delay in processing your application. All applicants are required to provide one form of identification and one proof of current residence. Acceptable forms of ID include a copy of your driving licence or passport, plus one other form of identification linking you to your address such as a utility, phone, or council tax bill. If we cannot trace you at your previous address(s) then further address verification may be requested.
It is important that you provide all information requested as soon as possible. We may continue to market the property and allow viewings until such time as contracts are signed. All information requested should be provided within 10 working days otherwise we may decline your application.You should contact us immediately if you are unable to provide any of the information requested as other documents may be suitable to confirm the information within your application.
WHAT HAPPENS IF THE APPLICATION IS DECLINED ?
-If you are declined for any reason and we feel another Landlord may consider you, we may offer you an alternative property up to 3 months from your application date without the need to pay the full application fees again. We may though, need to process another credit check depending on the amount of time elapsed.
In order to process your application quickly, you should provide the following information to accompany this application form(Original Documents Required); 1. I.D. E.g. Driving License or Passport 2. Proof of residence E.g. Recent Utility Bill, Credit card statement or Bank statement (No older than 2 months) 3. Latest 3 Months (or 12 if paid weekly) consecutive payslips 4. A copy of your tenancy agreement and proof of your last 6 months rental payments OR 6 months bank statements showing your rent/mortgage payments.
Once your application is accepted,you will normally pay the reservation fee which equates to the first month's rent. This is to ensure that the property is reserved for you for a maximum of 28 days.We cannot normally hold a property without this financial commitment from you.This fee is non-refundable should you subsequently withdrawn your application.
The security deposit will normally equate to one months rent and must be paid prior to occupation.A fee of £45 is also payable in addition to the deposit paid to cover the costs of registering your deposit. Normally, the landlord will require an increased deposit if you have pets.You will be notified at the time of signing your contract whether the bond is held in Jones Estate Agents Bond scheme or that of the Landlord.
CURRENT SCALE OF CHARGES
All charges(other than the application fee) are subject to VAT at the current rate. By signing this document you agree to have the following
payments, if required to be deducted before returning the balance of the bond to you. These payments will be made to Jones Estate Agents.
- Fee to rectify dilapidations at the end of the tenancy (if applicable) 10% on bills subject to a minimum of £20 plus vat
- Late payment of rent £20 plus vat
- Bounced cheque/ cheques not honoured £20 plus vat
- Renewal of tenancy agreement £45
Prior to your move in each applicant must sign the Tenancy Agreement and to pay, by cleared funds the first month's rent and the security deposit.
A monthly standing order for the rent will be required to be set up, payable 3 days before the due date to ensure the rent is in our Landlord's account on the due date. There will be an administration surcharge for rent not paid by standing order and a further £20+vat for any late payment per month.
The Landlord will hold buildings insurance, but it is your responsibility to arrange Contents Insurance. This may cover you in the event of accidental damage to the Landlords contents (if you do not already have your own policy giving adequate cover). Rates vary according to cover and length of time. We can supply further information on request and provide you with suitable and competitive cover.
I/We confirm that we have received, read and understood the terms and conditions of the Bond scheme provided by the Deposit Protection Scheme detailed in the leaflet INFORMATION FOR TENANTS - A Tenants Guide to DPS.
FUTURE RENTAL REFERENCES
We make a charge for rental references of £25 per rental reference.
